Guest and attendee interviews. Short on-the-day conversations that do the work testimonials do, captured while people are still excited. The most persuasive footage at almost any event, and the most commonly skipped.

Speaker and keynote coverage. Full-length recordings with clean audio, so a forty-minute talk becomes a gated asset instead of a memory.

Social cuts. Vertical 9:16 edits for Reels, TikTok and Shorts, sized so your team can post without recropping.

Event coverage runs at approximately $100 per hour, booked on a half-day or full-day basis. Crew size, additional cameras, lighting, live audio feeds, drone and post-production complexity move that number, and you’ll see all of it in a written scope before the date is held.

Two things worth knowing. A second operator beats a second edit round at any event with simultaneous action, because you cannot re-shoot a ribbon cutting. And the cheapest way to make an event film expensive is to decide what you want from it afterwards.

Why on-the-day interviews outperform the recap

Wyzowl’s 2026 survey found that 85% of video marketers say video generated leads for them and 83% say it directly increased sales. Recap films alone rarely do that. What converts is a real person saying, on camera, why the event was worth their afternoon.

Getting that requires someone comfortable walking up to strangers mid-canapé and getting a usable answer in ninety seconds. That skill is separate from camera work, and it’s the reason guest interviews are a standing part of Kota’s event coverage rather than an add-on.

Logistics handled before the day

Filming on public property in the City of San Diego needs advance authorisation, with requests submitted at least three full business days ahead. In Carlsbad, filming requires a city business license, and most of the coastline is California State Parks land with its own four-business-day permit process.

Kota flies under FAA Part 107 and secures LAANC authorisation where controlled airspace requires it, including around McClellan-Palomar Airport. None of that is your problem. It is listed here so you know it has been handled.

What to send before the day

A run of show with times. A list of the five moments you cannot miss, ranked. Names and titles for anyone speaking, spelled the way they want them on screen. Any sponsors whose logos need to appear. Whoever holds the venue relationship, in case a door needs opening.

That list takes ten minutes to write and changes what the footage is worth. Most event films come back generic because the crew was told to “capture the vibe” and left to guess which of four hundred people mattered.

Questions organisers ask

How early do you need to know the run of show? A week is comfortable. A day is workable. The morning of costs you shots.

Can you livestream? Live streaming and multi-camera setups are quoted per project based on venue internet and audio access.

Do you need a feed from the AV team? Yes, wherever one exists. A board feed from the venue’s sound desk is the difference between a watchable keynote and one that sounds like row twelve.

What if the schedule slips? It always does. Coverage is booked by the block rather than by the agenda, so a keynote running late doesn’t cost you the closing remarks.

Do you supply photography too? Yes. Headshots, candids and venue photography can run alongside video on the same booking.

How quickly can we post something? Social cuts can be prioritised ahead of the main highlight film so your team has assets while the event is still current.
